Build a realistic WhatsApp API budget by separating message charges, software fees, integration costs and the cost of handling customer replies.
Separate the four parts of your bill
A useful budget has four lines: platform message charges, software subscriptions, implementation costs and your team’s time. A low advertised software fee does not describe the complete monthly cost. Ask vendors to explain what is included, what is usage-based and which charges come from Meta.
Use the current rate card
Meta’s pricing page describes delivered-message pricing, with rates depending on message category and recipient market. Service messages and some utility messages may qualify for free treatment under the published conditions. Check the current rate card and eligibility rules rather than assuming that every message costs the same.
Create a planning worksheet
- Estimate recipients by country or market.
- Separate marketing, utility and authentication use cases.
- Estimate the number of delivered messages for each use case.
- Add your provider’s software fee and any stated usage markup.
- Keep setup and integration work separate from recurring charges.
- Ask whether taxes and support are included in the quote.
Example: compare total cost with outcomes
As an illustration, suppose your messaging activity and software cost ₹5,000 in a month and create 25 qualified opportunities. Your cost per qualified opportunity is ₹200. This is a planning example, not a Meta rate or a forecast. Compare that figure with actual sales and gross margin before increasing campaign volume.
Review the budget after the first complete billing period. Compare delivered messages, replies, qualified enquiries and sales with the original assumptions. A cheap message is not valuable when it reaches the wrong audience or receives no useful follow-up.
Frequently asked questions
Is there one universal India API price?
No single all-inclusive figure describes every business. Message mix, provider fees, integrations and applicable taxes can change the total.
Does a free message mean a free service?
Not necessarily. Your software provider and implementation partner may charge for their services even when a platform message is free.
